We spoke with Alex Lam, Chief Strategy Officer at SRKK Group, to learn how BrioHR has transformed their HR processes, made life easier for both HR and employees, and ultimately contributed to their business success. Alex:
Previously, our system was mobile only and for expense claims, many of our staff have invoices and receipts that are emailed to us. This made it very time consuming to send these documents to the mobile phone before submitting a new expense. We also were not able to access historical claims, after approval. As a result, there was no way to see the status on whether it was reimbursed or not.
Viewing of attachments in the previous system wasn't friendly and it made approval of expense claims more difficult.
For leave, BrioHR is far more flexible in terms of what can be carried forward, or the different leave allocation types. This helps us as we have to manage staff in different geographic offices who are subject to slightly different entitlements.
Alex:
The UI and UX of an app is often underrated. BrioHR has a beautiful and easy to use interface which makes certain mandatory evils, just less evil. After all, who really likes approving claims and leave!
We have an organisation of approximately 120 staff. One of the difficulties was controlling the balances of allocations by expense categories. Staff were constantly asking HR to find out how much remainder they had to spend on incentives or medical claims, and this was very tiring. Through BrioHR, you can easily see the balance available for claims.
Alex:
The less time you spend on processing payroll, managing claims and leave, the better it is. With BrioHR, our People Excellence team is more efficient and it also flows down through the organisation from managers to staff. Every few minutes saved by each individual makes a difference in the grand scheme of things.
Self-service in terms of downloading payslips (that look beautiful, by the way) or statutory documents really is a time-saver. As SRKK is a digital transformation consultancy, our staff are pretty tech savvy and we prefer to do things on our own. And now, we can.
The support team from BrioHR is also excellent. So kudos to your team. The average wait time for a virtual agent to answer is about 5 minutes, and they are more than helpful. Our onboarding to BrioHR was also very smooth as we were assigned to an account manager who stepped us through it all.
Alex:
Some managers used to procrastinate the approval of expense claims or leave, myself included, and this caused a headache to our finance team, as there was a bit of debate on whether we should include a claim that was submitted late or not.
The root cause of this was simple - the mobile app, website and processes slowed down everyone and this stress wasn't really necessary. Everybody has got "more important" things to do. Sales was a priority, operations was a priority and so was customer support. Nobody wanted to do painful administrative tasks. With BrioHR, we are now on top of things and we can close our financial books more efficiently every month.
Alex:
Put a dollar value on efficiency. Or rather, how do you value the time lost doing menial tasks. Invest in systems that improve productivity and also invest in what makes your staff happy. Retention of staff is a combination of things - using progressive systems and dehassling them is one step in the right direction.
Also, switch hats as you try out the system - it will help. Put yourself in the shoes of the HR team. Then swap to an employee. Finally, take on the role of a manager who needs to do approvals. Imagine doing these tasks every other day. If your system gives you grief, then you'll need to explore something else.
Alex:
